Five Things That Only Matter When You Are Leaving Zoho
Generic migration checklists miss these. Each one has caused a go-live problem on a Zoho source, so we raise them in the assessment rather than on cutover night.
You probably should not leave Zoho One entirely
Zoho Workplace is one bundle inside Zoho One. Zoho CRM, Books, Desk and Projects integrate natively with Gmail and Google Calendar, so moving the mail layer does not require abandoning applications that are working. We map the dependencies before quoting.
Zoho Mail Streams and Cliq history do not migrate
Streams comments and Cliq channel history have no equivalent structure in Gmail or Google Chat. If that conversation record matters, it has to be exported for archive before you decommission the Zoho tenant — afterwards is too late.
IMAP throttling and app-specific passwords
Zoho limits concurrent IMAP connections, and accounts with two-factor authentication enabled need app-specific passwords for IMAP access. Migrations planned without accounting for this stall halfway and lock accounts out. We establish admin-level access and batch accordingly.
External WorkDrive share links break
Any WorkDrive link you have given to a client, supplier or published on a website stops working once the tenant is retired. We produce an inventory of active external shares so they can be reissued from Google Drive rather than discovered by a complaint.
Retire the Zoho DKIM selector last, not first
Pulling Zoho's DKIM record at the same time as the MX switch causes authentication failures on mail still in flight. We publish the Google DKIM key, confirm stable delivery, and only then remove the Zoho selector and tighten DMARC.

Frequently Asked Questions
How long does a Zoho Mail to Google Workspace migration take?
It depends on mailbox count and total data volume rather than user count alone. A 5–20 user move is typically 2–3 days, 20–100 users about a week, and larger estates two to three weeks. Zoho enforces IMAP connection limits, so very large mailboxes are throttled by the source rather than by us — we account for that in the plan we give you after the assessment.
Do we have to leave Zoho CRM and the rest of Zoho One if we move email to Google Workspace?
No, and in most cases you should not. Zoho Workplace is one bundle inside Zoho One — Zoho CRM, Books, Desk and Projects all keep working with Google Workspace as your mail backbone, because Zoho CRM integrates natively with Gmail and Google Calendar. We are a Zoho Authorized Partner as well as a Google partner, so we will map which parts of your Zoho stack should stay before we quote the migration.
Will there be email downtime during the cutover?
No. We pre-sync mail into Google Workspace while everyone keeps working in Zoho, run a pilot group, then switch MX records outside business hours and run a final delta sync. Mail sent during the switch is queued by the sending server and delivered to the new mailbox.
What does not survive a Zoho to Google Workspace migration?
Zoho Mail Streams comments and Zoho Cliq message history have no equivalent in Gmail or Google Chat and cannot be migrated — they need exporting for archive before cutover if you want to keep them. Zoho Vault entries also have no like-for-like destination in Google Workspace. We list these explicitly in the assessment so there are no surprises on go-live day.
Do Zoho WorkDrive Team Folders move to Google Shared drives?
Yes, and this is one of the cleaner parts of the move — WorkDrive Team Folders and Google Shared drives share a similar permission model, so member roles map across. External share links do not carry over: any link you have given to a client or supplier has to be reissued from Google Drive after migration.
What happens to our DNS, SPF and DKIM records?
We reissue all of them. MX records point to Google, SPF is rewritten for Google's sending infrastructure, a new DKIM key is generated in the Google Admin console, and DMARC is re-published. Zoho's old DKIM selector is retired once mail flow is confirmed stable, not before.
Can you migrate only some users and leave the rest on Zoho Mail?
Yes. A split-domain setup keeps some mailboxes on Zoho and some on Google Workspace with mail routing between them. It is a valid long-term arrangement for organisations with distinct divisions, and a useful intermediate step for cautious large migrations.
