Five Things That Only Matter When You Are Leaving Zoho
Generic migration checklists miss these. Each one has caused a go-live problem on a Zoho source, so we raise them in the assessment rather than on cutover night.
You probably should not leave Zoho One entirely
Zoho Workplace is one bundle inside Zoho One. Zoho CRM, Books, Desk and Projects integrate with Outlook and Microsoft 365, so moving the mail layer does not require abandoning applications that are working. We map the dependencies before quoting.
Decide OneDrive versus SharePoint before you migrate
WorkDrive Team Folders are shared workspaces, so they belong in SharePoint document libraries — not in somebody's OneDrive. Migrations that skip this decision end up with company files owned by individual accounts, which becomes a real problem the first time one of those people leaves.
Zoho Mail Streams and Cliq history do not migrate
Streams comments and Cliq channel history have no equivalent structure in Outlook or Teams. If that conversation record matters, it has to be exported for archive before you decommission the Zoho tenant — afterwards is too late.
IMAP throttling and app-specific passwords
Zoho limits concurrent IMAP connections, and accounts with two-factor authentication enabled need app-specific passwords for IMAP access. Migrations planned without accounting for this stall halfway and lock accounts out. We establish admin-level access and batch accordingly.
Retire the Zoho DKIM selector last, not first
Pulling Zoho's DKIM record at the same time as the MX switch causes authentication failures on mail still in flight. We enable DKIM signing in Microsoft 365, confirm stable delivery, and only then remove the Zoho selector and tighten DMARC.

How long does a Zoho Mail to Office 365 migration take?
It is driven by total mailbox data rather than user count. A 5–20 user move is typically 2–3 days, 20–100 users about a week, and larger estates two to three weeks. Zoho enforces IMAP connection limits on the source side, so throughput is capped by Zoho rather than by Microsoft — we measure the real rate on a pilot batch before committing to your timeline.
Do we have to leave Zoho CRM and Zoho One if we move email to Microsoft 365?
No. Zoho Workplace is one bundle inside Zoho One, and Zoho CRM, Books, Desk and Projects all integrate with Outlook and Microsoft 365 as the mail backbone. Moving the collaboration layer does not require decommissioning applications that are working well. We are a Zoho Authorized Partner, so we map those dependencies before quoting rather than selling you a bigger migration than you need.
Will there be email downtime during the cutover?
No. We pre-sync mail into Exchange Online while everyone keeps working in Zoho, validate a pilot group, then switch MX records outside business hours and run a final delta sync. Mail sent during the switch is queued by the sending server and delivered to the new mailbox.
What does not survive a Zoho to Microsoft 365 migration?
Zoho Mail Streams comments and Zoho Cliq message history have no equivalent in Outlook or Teams and cannot be migrated — they need exporting for archive before the Zoho tenant is retired. Zoho Connect content is rebuilt in SharePoint rather than moved, and Zoho Vault has no like-for-like destination in Microsoft 365. All of this is listed in the assessment.
Where do Zoho WorkDrive Team Folders end up — OneDrive or SharePoint?
Team Folders belong in SharePoint document libraries, not OneDrive; only genuinely personal files should land in a user's OneDrive. This is the decision that most affects how the estate feels afterwards, so we agree the target information architecture before migrating rather than dumping everything into OneDrive and sorting it out later.
How do Zoho Mail tags translate to Outlook?
Zoho folders map directly to Outlook folders. Zoho tags are closer to Outlook categories, and because a message can carry several tags but lives in exactly one folder, we agree the mapping rule up front — usually tags to categories, preserving the folder hierarchy as-is.
What happens to our DNS, SPF and DKIM records?
We reissue all of them. MX records point to Exchange Online, SPF is rewritten for Microsoft's sending infrastructure, DKIM signing is enabled and published from the Microsoft 365 Defender portal, and DMARC is re-published. Zoho's old DKIM selector is retired only after mail flow is confirmed stable.
