Costs below are list prices on annual billing, multiplied out for a representative team in each band. They exclude GST and any implementation fee. Where two editions are shown, the first figure is Standard and the second is Professional.

What each step up costs per person
Moving from Standard to Professional adds ₹7,200 per user per year. Moving from Professional to Enterprise adds ₹12,000. That second step is the one worth testing against a real need, because it is the larger jump.
1–3 users: start on Free
Zoho's Free edition covers up to three users and 5,000 API calls a day. That is enough to move a founder and a couple of salespeople off a spreadsheet and into one shared pipeline.
Move up when a fourth person joins and you hit the user cap, or when you want custom modules, mass email or sales forecasting. Those come with Standard.
4–10 users: Standard or Professional?
Standard (₹800) gives you:
- Sales pipelines, custom fields and custom modules
- Workflow rules, mass email and sales forecasting
- Zoho Marketplace extensions
Right for: A team of under ten that needs one clean pipeline and stops chasing deals in a spreadsheet.
Professional (₹1,400) adds:
- Blueprint — enforced stage-by-stage sales process
- CPQ, quotes and inventory (quote-to-invoice)
- Validation rules and SalesSignals
For 5 users the difference is ₹36,000 a year. That is small next to one deal lost because a rep skipped a step.
If you cannot name a rule you would want the CRM to enforce, start on Standard. If you can, start on Professional, since rebuilding automation later costs more than the licence gap.
11–50 users: Professional
The edition most Indian SMB rollouts actually land on. At 25 users it costs ₹4,20,000 a year on list price.
At this size the problem stops being tooling and becomes consistency. Ten reps will run ten slightly different processes unless something enforces the stages, and Blueprint is the Zoho feature that does. Quotes built inside the CRM, rather than in spreadsheets, also keep pricing consistent across reps.

50–150 users: Enterprise
Multi-team structure, approvals and custom development. At 75 users, Enterprise lists at ₹21,60,000 a year, so the choice should rest on a named need, not on size alone.
The usual reasons that justify it:
- Territory management and page layouts per business line
- Approval processes and multi-user portals
- Custom Deluge functions and a sandbox to test in
Right for: Multiple sales teams or business lines, an approval hierarchy for discounts, or custom logic that needs testing before it hits live data. If none of that applies, a 100-person team can run well on Professional, and Enterprise is money spent on features nobody opens.
150+ users: Ultimate, or Zoho One
Ultimate (₹2,600) is Enterprise with higher limits and built-in analytics. Right for: Large deployments that hit Enterprise limits, or that need CRM analytics without a separate Zoho Analytics licence.
Before you commit at this size, price Zoho One. The two are licensed on different bases: CRM is priced per user, while Zoho One at ₹1,250 per month is priced per employee on payroll, whether or not they log in. That makes the comparison a ratio, not a price:
- Against Professional (₹1,400), Zoho One is cheaper once about 89% of employees need the CRM.
- Against Enterprise (₹2,400), the figure is about 52%.
- Against Ultimate (₹2,600), about 48%.
Worked example: 300 employees, 200 of them on the CRM. Enterprise CRM alone is ₹4,80,000 a month. Zoho One for all 300 is ₹3,75,000 a month and includes the rest of the suite. Check which CRM edition Zoho One includes before relying on that comparison, as it may not match the edition you priced above.

Four questions that settle it
Answer these before looking at headcount. They map directly to where Zoho draws the line between editions.
1. Does your sales process have rules that must be followed?
If a deal must not move to “Proposal” without a requirement document, or a discount above a limit needs sign-off, you want Blueprint, which starts at Professional. If stages are only a guide, Standard is enough.
2. Do quotes and invoices come out of the CRM?
CPQ, quotes and inventory sit in Professional. If your team builds quotes in a spreadsheet and pastes them into email, this is usually the first reason to move up.
3. Does anyone other than a manager need to approve something?
Approval processes and territory management are Enterprise features. One discount approver with a chat message is not an approval process. Three levels of sign-off by region is.
4. Will anyone write custom code against it?
Custom Deluge functions and the developer sandbox are Enterprise. A sandbox matters because it lets you test a function on copied data before it touches live deals.

Which Zoho CRM plan is best for a small business?
For one to three people the Free edition is enough to stop using a spreadsheet. For four to ten, choose Standard if one clean pipeline is the goal, and Professional if you need enforced stages (Blueprint) or quotes and inventory. Most small Indian sales teams that need either of those land on Professional at ₹1,400 per user per month.
How many users can use Zoho CRM for free?
Up to three users on the Free edition, with 5,000 API calls a day according to Zoho's pricing page. Free has no AI features and is capped at three users, so treat it as a starting point, not a long-term plan.
Is it cheaper to buy Zoho One than Zoho CRM for a large team?
It can be. Zoho One is priced per employee on payroll (₹1,250 per month, annual billing, excluding GST), while CRM is priced per user. Can I switch Zoho CRM editions later?
Yes. Editions can be changed as the team grows, and moving up is the common direction. The practical cost of a wrong first choice is less the licence difference than the rework: automation built around Standard may need reworking as Blueprint stages once you move to Professional. If you expect to move up within a year, it is cheaper to plan the process for the higher edition from the start.
