Zoho CRM and IndiaMART Integration
IndiaMART sends you buyer enquiries faster than a sales team can copy them into a CRM by hand, and the ones that get missed are the ones a competitor answers first. We connect IndiaMART's lead API to Zoho CRM so every enquiry lands as a deduplicated, assigned, timestamped record within seconds of the buyer submitting it.
What Zoho already does
Custom API build
Zoho ships no first-party IndiaMART connector. There are third-party listings on Zoho Marketplace, but they vary a great deal in how they handle duplicates, field mapping and failures, and you inherit whoever maintains them. A dependable setup reads IndiaMART's own lead API from a scheduled Zoho function you control, which means the mapping, the dedupe rule and the error handling are yours to change.
What a IndiaMART Integration Fixes
- Enquiries copied from the IndiaMART panel into the CRM by hand, hours after the buyer sent them
- The same buyer arriving three times across three months as three unlinked leads
- No way to report on which IndiaMART product listings actually produce closed business
- Enquiries sitting unassigned overnight and at weekends, when a large share of them arrive
What We Build
Scheduled lead pull
A Zoho function calls IndiaMART's lead API on a schedule, tracks the last-fetched timestamp, and handles the rate limit without dropping records when the window is missed.
Deduplication rule
Incoming enquiries are matched against existing Leads and Contacts on phone and email before anything is created, so a returning buyer updates a record and adds an enquiry rather than spawning a second one.
Field and product mapping
Buyer name, company, phone, city, the product enquired about and the enquiry text mapped to CRM fields — including a custom field for the IndiaMART product, so source reporting works later.
Assignment and first response
Round-robin or territory-based assignment, plus an optional automated WhatsApp or SMS acknowledgement so the buyer gets a reply before your rep opens the record.
Failure alerting
If IndiaMART's API rejects a call or credentials expire, someone is told. Silent integration failure is the single most common way lead capture dies unnoticed.
How the Data Actually Moves
Every step names its direction, because "integrated" on its own tells you nothing about which system wins when the two disagree.
- 01
Buyer enquires on IndiaMART
The enquiry is raised against one of your product listings and appears in your IndiaMART Lead Manager.
- 02
Zoho pulls it in
A scheduled function in your own Zoho CRM calls the IndiaMART lead API and retrieves everything since the last successful fetch.
- 03
Dedupe and match
Phone and email are checked against existing records. A match updates and appends; no match creates a new Lead.
- 04
Assign and acknowledge
The record is routed to an owner by rule, and the optional first-touch message goes out.
- 05
Report on source
Because the IndiaMART product name is stored on the record, pipeline and won-revenue reports can be cut by listing.
What Goes Wrong With IndiaMART Integrations
We sell this work, so treat the section accordingly — but an integration that breaks quietly six months in costs us more in support than the build ever earned. These are the failure modes worth knowing before you commission it.
The API key is tied to a mobile number, not a user
IndiaMART issues the CRM key against the registered mobile number on the seller account. If that number changes hands when someone leaves, the integration stops and nothing on the IndiaMART side tells you. Decide who owns that number before go-live, not after.
Rate limits punish naive polling
IndiaMART throttles how often the lead API can be called and how wide a time window each call may request. An integration written to poll aggressively will be rejected and, if it does not track its own last-fetched timestamp, will silently skip the enquiries it was rejected during.
The same buyer enquires on several listings
Treating each enquiry as a new Lead inflates your pipeline and splits the conversation across records. Treating them all as one Lead loses which product drew the buyer in. The workable answer is one record per buyer with the enquiries attached to it, which is a mapping decision that has to be made deliberately.
Enquiry quality varies enormously
A meaningful share of IndiaMART enquiries are price-fishing or out of territory. Routing all of them into the main pipeline destroys your conversion reporting. We normally add a qualification stage before a record counts as pipeline.
How long it takes
Typically one to two weeks for a single-account setup with dedupe and assignment. Longer where multiple IndiaMART seller accounts feed one CRM, or where enquiries must route across territories.
Integration work is quoted per scope rather than from a price list, because the same integration costs very different amounts depending on how clean the data behind it is. Discovery is free, and you get a fixed number before you commit to anything.
What we need from you
- An IndiaMART seller account with lead API access enabled
- The registered mobile number for that account, and agreement on who owns it
- A decision on the dedupe key — phone, email, or both
- Zoho CRM on any paid edition (custom functions need Professional or above for some triggers)
Zoho CRM and IndiaMART Integration — FAQs
Can IndiaMART leads go into Zoho CRM automatically?
Yes. IndiaMART exposes a lead API, and Zoho CRM can call it on a schedule from a custom function, so enquiries arrive as CRM records without anyone copying them across. There is no first-party Zoho connector for IndiaMART, so this is a build rather than a switch you turn on, but once it is running it needs no manual step.
How quickly do IndiaMART enquiries reach Zoho CRM?
That is a scheduling decision rather than a technical limit. Most setups poll every five to fifteen minutes, which is well inside IndiaMART's rate limit and fast enough that a rep can respond while the buyer is still comparing suppliers. Polling far more often gets throttled and gains very little.
Will it create duplicates if the same buyer enquires twice?
Not if the dedupe rule is built in. We match incoming enquiries against existing Leads and Contacts on phone number and email before creating anything. A returning buyer updates the existing record and has the new enquiry appended, so the sales history stays on one record instead of splitting across three.
Can we tell which IndiaMART listing produced a closed deal?
Yes, provided the product enquired about is stored on the CRM record at capture time. We map it to a dedicated field, which then flows through to the Deal, so pipeline and won-revenue reports can be broken down by listing. This is the single most useful thing the integration gives you and it is also the part most commonly left out.
What happens if the IndiaMART API stops responding?
The integration logs the failure and alerts a named person. This matters more than it sounds: the usual way IndiaMART lead capture dies is quietly, when a credential expires and nobody notices for a fortnight because the CRM simply looks less busy than usual.
Do you also integrate TradeIndia or JustDial?
Yes. Both work the same way — a scheduled pull against the marketplace's API into the same dedupe and assignment logic, with a source field distinguishing where each enquiry came from. If you use more than one marketplace, building them together costs less than building them separately, because the matching and routing layer is shared.
