What Goes Wrong With WhatsApp Business API Integrations
We sell this work, so treat the section accordingly — but an integration that breaks quietly six months in costs us more in support than the build ever earned. These are the failure modes worth knowing before you commission it.
The 24-hour window governs everything
Outside it you cannot send free-form text, only an approved template. Teams that plan for conversations and not for templates find their follow-up blocked at exactly the point the customer went quiet. Map the templates you need before go-live, because approval is not instant.
Template rejection is a content problem, not a technical one
Meta rejects templates that read as promotional in a utility category, that contain too many variables relative to fixed text, or that make claims. A rejected template is a delay, and a repeatedly rejected one can affect the account. Writing them to pass is a skill, and it is most of the setup work.
Moving an existing number is one-way and disruptive
If the number your customers already know is running on the consumer WhatsApp app, migrating it to the Business API deletes that app's chat history on the device and cannot be casually reversed. Decide deliberately between migrating the known number and starting a new one.
Meta's pricing model has changed more than once
Billing has moved between per-conversation and per-message structures, and rates vary by category and country. We deliberately publish no rate here, because a stale number on a page like this is worse than none — check Meta's current pricing directly before you budget.
How long it takes
Usually two to four weeks end to end, and the critical path is almost always Meta's business verification and template approval rather than the CRM configuration.

Connecting it is the quick part; the work that decides whether it succeeds is template approval, opt-in capture and routing.
What does the WhatsApp Business API cost?
Meta charges for messaging separately from your Zoho licence, and the model has changed more than once — it has moved between per-conversation and per-message billing, with different rates by message category and country. Can we use our existing WhatsApp number?
Usually yes, but understand what it involves. A number currently running on the consumer WhatsApp or WhatsApp Business app has to be migrated to the API, which deletes the chat history stored in that app on the device and is not something to reverse casually. If the number is widely published, migrating is normally right — just do it as a planned cutover.
Why do WhatsApp message templates get rejected?
Most often because the content does not match the category it was submitted under — promotional wording in a utility template is the classic case — or because the template is mostly variables with little fixed text, or because it makes a claim Meta will not carry. Rejections cost days, so templates are worth writing carefully the first time.

Whether your overall processing is compliant depends on your notices, your retention policy and your purposes, and that is a question for your legal advisor rather than for us.

Yes, in both directions. Every message sent and received is written to the Lead, Contact or Deal timeline. That is usually the argument that wins internal buy-in: conversations stop being private to whichever rep happened to have the customer's number.
