What Goes Wrong With Meta Ads Integrations

The integration fails silently

Meta access tokens expire, and page permissions are lost when the person who granted them changes role or leaves. When that happens the sync simply stops. There is no error in your CRM — just a quieter week that looks like a slow market. Monitoring is not optional on this one.

Lead ads are high volume and low intent

In-platform forms are frictionless by design, which is exactly why they produce a lot of leads and a lower qualification rate than a website enquiry. Routing them into the same pipeline as inbound demo requests, on the same SLA, makes both sets of numbers meaningless.

The Conversions API needs matching data to be useful

Meta matches your server-side events back to users using hashed identifiers — email and phone. If your CRM records are missing those, or hold them in inconsistent formats, match rates fall and the feedback loop degrades quietly rather than failing outright. Data hygiene decides whether this works.

How long it takes

Leads arrive in near real time rather than being exported as a CSV and imported later, which matters because response speed is most of the conversion rate on paid social leads.

What is the Conversions API and do we need it?

It is a server-side channel for sending events back to Meta from your own systems rather than from a browser pixel. You need it if you want Meta to optimise towards revenue rather than form submissions — it is how the platform learns which of the leads it sent you were actually any good. If you only want leads to appear in the CRM, you do not need it.

Why did our Facebook lead sync stop working?

Can we see which campaign produced closed revenue?

Yes, provided campaign, ad set and ad identifiers are stored on the lead at capture and carried through to the deal. Once they are, CRM dashboards can report closed revenue by campaign, which is a materially different picture from cost per lead and usually reorders which campaigns you would keep.

Does this cover Instagram as well as Facebook?

Yes. Both run through Meta's advertising platform, so Instagram lead ads flow through the same integration and the same Conversions API feedback loop. The placement is stored on the record, so you can report on the two separately.

Will sending customer data to Meta create a privacy problem?

Conversions API events use hashed identifiers rather than plain email addresses and phone numbers, which is how the matching is designed to work. That is a technical control, not a legal opinion: whether the transfer is lawful for your business depends on the notices you have given and the consent you hold, and it is worth confirming with your advisor before switching it on.
